Printing & Prepress Specifications

What is 0.125" (1/8") bleed and why is it mandatory for commercial printing?

Bleed is the artwork area that extends beyond the final cut line of your printed piece. Commercial print runs are sliced on heavy industrial guillotine cutters in tall stacks. While aligned with precision lasers, micro-movements of up to 1/16" are normal during cutting.

Extending all background colors and imagery 0.125" (1/8 inch) past the trim edge on all four sides ensures that your graphics trim cleanly right to the edge, preventing thin white unprinted paper edges.

Calculation Formula: Full Bleed Size = Finished Trim Dimensions + 0.25" Total (0.125" on each side).
Example: A standard 3.5" × 2.0" business card must be submitted as a 3.75" × 2.25" canvas.

Why do printed colors look slightly different from my computer monitor (CMYK vs RGB)?

Digital screens generate color using backlit RGB (Red, Green, Blue) light. Commercial printing presses reproduce color by mixing physical ink droplets of CMYK (Cyan, Magenta, Yellow, Black) on paper.

RGB light displays an ultra-wide color spectrum that physical inks cannot physically duplicate (especially neon greens, electric blues, and radioactive orange shades). When an RGB file is sent to the press, it is converted to CMYK, which can cause intense glowing screen colors to print slightly less saturated.

Recommendation: Always design directly in CMYK mode (using standard profiles like U.S. Web Coated SWOP v2) to preview realistic print tones on your monitor. Read more in our CMYK Color Guide.

What CMYK formula should I use for Rich Black on large backgrounds?

Using only 100% K (0/0/0/100) for large dark backgrounds results in a faded, dark-greyish appearance because the paper stock absorbs the single ink layer.

To produce a deep, velvety, midnight black on large solids, use our recommended Rich Black Formula:

Rich Black Formula (Large background fills): C: 60 | M: 40 | Y: 40 | K: 100
Standard Black (Fine body text under 24pt): C: 0 | M: 0 | Y: 0 | K: 100 (Prevents ink misregistration blur on small type).

What resolution (DPI) is required for physical printing?

All raster graphics, photographs, and composite artwork must be saved at 300 DPI (Dots Per Inch) at 100% of final print size.

Images copied from the internet are typically 72 DPI to save bandwidth on screens; scaling these up to physical paper stock produces noticeable pixelation, jagged edges, and blurry text.

Large Format Exception: For vinyl banners, A-frames, yard signs, and posters viewed from several feet away, 150 DPI at 100% scale is standard. Learn more in our Resolution Specifications.

Why must I convert fonts to outlines before submitting artwork?

If a PDF contains live typography that relies on fonts installed only on your local computer, our prepress RIP processor may not recognize the typeface. In that scenario, the system automatically substitutes a default font (such as Courier or Arial), altering your letter spacing, margins, and branding.

How to Outline in Illustrator: Select all text → press Ctrl+Shift+O (Windows) or Cmd+Shift+O (Mac).
In InDesign: Select text → Type > Create Outlines.

How do I prepare Spot UV gloss or metallic foil mask files?

Specialty coatings like raised Spot UV gloss or metallic foil stamping require a secondary black-and-white mask file aligned exactly with your CMYK color artwork.

  • 100% Solid Black (K:100): Designates areas where the specialty finish will be applied.
  • 100% Pure White (K:0): Designates areas with NO finish.
  • No Gradients or Shadows: Specialty coatings cannot fade; use crisp solid vector shapes only.

How do I track my online print order and courier shipment?

You can track your order status in real time in several ways:

  1. Print Shop Account: Log in to My Account to view active order statuses, production checkpoints, and shipping numbers.
  2. Automated Email: When your order leaves our production facility, an automated shipping confirmation with your tracking link (FedEx, Purolator, or UPS) is emailed directly to you.
  3. Support Ticket Desk: Have your Order #? Submit an inquiry on our Support Desk and our dispatch team will provide a live delivery update.

What are your typical printing production turnaround times?

Standard production times depend on product specifications and finishes:

  • Standard Business Cards & Postcards: 2 to 4 business days.
  • Specialty Finishes (Spot UV, Foil Stamping, Embossing): 5 to 7 business days.
  • Large Format Signs, Vinyl Banners & Trade Show Displays: 2 to 4 business days.
  • Folded Brochures & Presentation Folders: 3 to 5 business days.
Note: Production countdown begins once print-ready artwork is approved. Transit times via courier (typically 1–3 business days across Canada) are added to production.

Can I change my delivery address after placing an order?

If your order has not yet been boxed and labeled for courier dispatch, our team can update your destination address.

Please immediately submit an Urgent Support Ticket with your Order # and the new shipping address. Once courier labels are generated or parcels are in carrier possession, rerouting must be handled directly with the carrier.

What should I do if my package or prints arrive damaged?

We pack all commercial shipments in reinforced cartons; however, transit accidents can occur with third-party couriers.

To process an immediate expedited reprint or claim:

  1. Take clear photos of the damaged shipping carton, the courier tracking label, and the affected printed items.
  2. Open a Support Ticket with priority marked as High, attach your photos, and reference your Order #.
  3. Our production manager will review the images within 2–4 business hours and expedite a replacement run.

How do design proof reviews and revision rounds work?

For custom graphic and web design projects, digital PDF proofs are delivered directly through your Client Design Portal or via email.

You can review full-resolution mockups, markup revisions, and leave bulleted feedback. Standard design contracts include structured revision rounds (typically 2 to 3 iterations) to refine colors, typography, layout, and copy before final sign-off.

What file deliverables do I receive upon completion of my design project?

Once final design approval is granted and invoice payment is complete, you will receive a comprehensive production package containing:

Can I sign in to the Support Desk using my Print Shop or Design Portal account?

Yes! We have unified authentication across our web applications. You do not need to create a third separate account for the Support Desk.

Simply visit /support/login.php and sign in with:

  • Your Print Shop Account: Registered email address & password.
  • Your Design Client Portal Account: Client username or email & password.
  • Support Staff: Staff credentials route directly to the administrative dashboard.

How do I reset my password if I cannot log in?

Reset emails contain a time-sensitive security token valid for 2 hours. If you do not see the email in your inbox, check your Spam or Junk folder.

Can I submit and track a support ticket as a guest without creating an account?

Yes! Any customer can open an inquiry at /support/create.php without registering.

Upon submission, our system generates a unique Ticket Reference Code (e.g. VD-2026-XXXXX) and secure access link. You can track progress, reply, or upload attachments at any time via /support/lookup.php using your code and email address.

What payment methods do you accept for print and design work?

Where can I download my official PDF tax invoice or receipt?

For online print orders, an itemized tax receipt with our Canadian GST/PST registration number is emailed immediately upon checkout completion. You can also view and print full order summaries at /printing/account.php.

For corporate design clients, invoices and statements are accessible within the Client Design Portal under Billing.

How do I submit artwork files larger than the 100 MB website limit?

Our web uploader supports files up to 100 MB each. If you are uploading enormous high-resolution files (common for 20-foot banners or multi-panel billboards) that exceed 100 MB:

  1. Complete your order online on the Print Shop (or submit a support ticket).
  2. Upload your master file to a cloud transfer service such as WeTransfer.com, Google Drive, or Dropbox.
  3. Open a Support Ticket or reply to your order email with the sharing link. Our prepress operators will download and inspect your artwork directly.

How do I clear my browser cache or perform a hard refresh?

If a web page, product pricing table, or shopping cart seems stuck or displays outdated content, your browser may be serving cached files. Performing a "Hard Refresh" forces your browser to pull fresh code:

  • Windows / PC (Chrome, Edge, Firefox): Press Ctrl + F5 or Ctrl + Shift + R.
  • Mac (Safari, Chrome): Press Cmd + Shift + R (or Option + Cmd + E in Safari).
  • Mobile Devices: Open browser settings and select "Clear Browsing Data > Cached Images and Files", or open the link in a Private/Incognito tab.

Why am I not receiving automated ticket confirmations or reply emails?

All automated system notifications originate from portal@vividgraphicdesign.ca. If you are not receiving emails:

  • Check your Spam, Junk, or Promotions folders and mark Vivid Design as "Not Spam".
  • Add portal@vividgraphicdesign.ca and sales@vividgraphicdesign.ca to your email address book or trusted sender whitelist.
  • Ensure corporate email filters (such as Microsoft 365 Defender or Barracuda) are not quarantining incoming automated messages.
